Job Description

The Payroll In‑Charge is responsible for managing end‑to‑end payroll operations with accuracy, confidentiality, and compliance.

This role ensures all employees are paid correctly and on time, while maintaining compliance with labor laws, tax regulations, and company policies. 

The Payroll In‑Charge also plays a key role in process improvement and employee support regarding payroll‑related matters.

The payroll supervisor is responsible for collecting, checking and processing the components of each employee's remuneration in order to produce pay slips.

They also carry out certain technical and administrative procedures relating to personnel management (social security declarations, paid leave management, etc.).
 

Key Deliverables

Payroll Processing

  • Manage full‑cycle payroll for all employees (monthly, weekly, or bi‑weekly).

  • Validate all salary inputs including attendance, overtime, bonuses, deductions, leaves, commissions, and allowances

  • Verify payroll results through detailed audits and reconciliations before approvals.

Compliance & Documentation

  • Maintain compliance with labor laws, tax laws, and social security regulations.

  • Prepare statutory returns and payment schedules (tax declarations, pension/insurance contributions, etc.).

  • Update payroll policies and procedures when regulations change.

Data Management

  • Maintain updated employee records in HR/payroll systems.

  • Process new hires, promotions, terminations, transfers, and salary adjustments.

  • Reconcile payroll data with Finance for accounting and reporting purposes.

Employee Support

  • Respond promptly to employee queries related to salary, deductions, payslips, and leave balances.

  • Provide clear explanations regarding payroll rules and policies.

Reporting & Analysis

  • Prepare monthly payroll summaries and cost reports for management.

  • Support budgeting and forecasting activities with accurate payroll data.

 

Operational Effectiveness

  • Prepare pay slips by collecting and analysing all the necessary information (working time, paid holidays, overtime, bonuses, taxes, contributions, sickness, increases, advance payments, etc.).

  • Checks and enters data relating to the preparation of pay slips in the payroll software ( ).

  • Produce payslips in compliance with employment regulations, legislation and the company's HR policy.

  • Manage the updating of payroll software settings.

  • Drawing up the company's tax and social security returns (employee and employer contributions, Urssaf, pension funds, health insurance, provident funds).

  • Maintain relations with social security bodies.

  • Draw up the DSN (nominative social declaration) (monthly management and transmission of company data to declare and pay contributions to social organisations).

Requirements

Qualifications & Experience

  • Bachelor’s degree in HR, Finance, Accounting, or related field.

  • 2–5+ years experience in payroll operations (depending on company level).

  • Experience with payroll software (e.g., Sage, SAP, or local payroll systems).

  • Knowledge of labor laws and statutory compliance requirements.

  • Experience in a multinational or high‑volume environment is an advantage.

  • Professional English required.
